GROUP DAY TRIP TERMS & PRICING

Terms & Conditions – Booking and Cancellations
To ensure a smooth experience for all parties, Porvoo Tours applies the following general terms for group bookings and program services.

Booking and Confirmation
A booking is considered confirmed once the customer receives a written confirmation from Porvoo Tours. Final details regarding the program, schedule, and special requirements (e.g., dietary restrictions) should be finalized at least 14 days before the event.

Changes to Group Size

  • Final Participant Count: The final number of participants must be confirmed at least two (2) business days prior to the trip.
  • Invoicing Base: This confirmed number is the minimum basis for our invoicing. We cannot offer refunds for participants who do not arrive on the day of the tour.

Cancellation Policy
If you need to cancel an entire group booking, the following charges apply:

  • Earlier than 14 days before arrival: No cancellation fee (unless specific third-party costs, like non-refundable tickets, have been incurred).
  • 14 to 3 business days before arrival: A cancellation fee of 50% of the total estimated value.
  • Less than 48 hours (or 2 business days) before arrival: A cancellation fee of 100% of the total value.

Please note: Separate cancellation terms may apply to certain third-party services, such as chartered ferries or specific hotel allotments. These will be communicated at the time of booking.

Payments and Invoicing

  • Post-Event Invoicing: We typically send a consolidated invoice for all services after the program has been completed.
  • Invoicing Fee: A standard invoicing fee of 10 € will be added to each invoice.
  • Payment Terms: Standard payment terms are 14 days net from the date of the invoice, unless otherwise agreed.
  • Late Payments: Interest on late payments is charged according to the Finnish Interest Act.
  • Final Participant Count: Invoicing is based on the group size confirmed by the customer at least two business days prior to the trip.

 

Liability and Force Majeure
Porvoo Tours acts as a professional intermediary and operator. We are not liable for delays or cancellations caused by Force Majeure events (e.g., extreme weather conditions, strikes, or sudden technical failures of third-party transportation). In such cases, we will do our utmost to provide an equivalent alternative or reschedule the tour.
